Policies and Important Information
The Spencer Hotel is located on the grounds of the Chautauqua Institution, a gated resort community. During the Chautauqua Summer Season programming beginning the last saturday in June, through the last saturday in August we rent from Saturday to Saturday. As you check for your arrival and departure dates, please keep in mind of our seasonal policies. Please contact a reservation specialist for nightly reservations offered. During the nine week season a gate pass and parking pass is required ranging from $35-$60 per person per day for the Chautauqua Institution programming. Off season we rent nightly with no gate pass or parking fee required.
Automobiles are only allowed on the grounds for guest and baggage delivery during the summer programming. Please make arrangements for gate passes prior to your arrival; call the Institution's Front Gate at 716-357-6250. This will save you time on arrival.
The Chautauqua Institution is a unique and wondrous environment; however, there are limited stores and services on the grounds and nearby. Some articles, for example, medical supplies, may be difficult to secure once you are here. The nearest major medical facility is in Westfield, which is approximately one half-hour away, and the nearest pharmacy is in Mayville (5 miles).
The Spencer is a non-smoking establishment and is handicap accessible.
We love pets, but we cannot accommodate them at the hotel. Call and we can recommend a place to board your pet.
We accept checks, money orders, and credit cards.

The State of New York requires us to collect 13.00% sales tax. Because we are a small hotel, we do not have to collect the additional hotel taxes that apply to stays in larger hotels.
Cancellation Policy:
The Spencer Hotel and Spa is committed to providing its guests with special and exceptional service and hospitality. We understand that travel plans are subject to various factors; as a small lodging facility we ask your understanding in return. We have our own reservation and cancellations policies which we set forth here and which constitute our contract with you.
Spencer Season:
September 7 - June 20
- All reservations must be secured with a Visa or Master Card credit card deposit at the time of reservation; see below for seasonal particulars.
- Reservations which are cancelled due to no-show, day-of cancellation, and early departure will be subject to a charge of the entire reservation amount.
- Cancellations made at least 14 days before the scheduled arrival will be fully refunded less a $40 service charge. Cancellations made within 14 days of scheduled arrival are subject to forfeiture of deposit and a $40 service charge. Cancellations made within 7 days of scheduled arrival are subject to forfeiture of deposit and a charge of the total amount of the reservation.
- All group reservations and workshops require a 50% deposit with the balance due upon departure.
- We do our utmost to honor reservations for specific rooms but reserve the right to reassign bookings within the Hotel if/when necessary.
- If upon arrival our accommodations are not to your satisfaction, let the front desk know promptly as adjustments may not be possible later.
- There are no exceptions to these policies, we are not be responsible for events beyond our control such as: weather, illness, death, and emergencies. Chautauqua Season:
June 27 - August 29
- Season dates are those of the Institution for that calendar year.
- Advance reservations may be during the season for the following year with a 25% deposit. The second 25% is due November 1 and the balance due March 1. Reservations made after March 1 are due in full. Rescheduling of Season reservations is at the hotel's discretion. Season reservations cancelled prior to March 1 are subject to a $75.00 service charge. Season reservations cancelled after March 1 for any reason require the purchase of Travelex cancellation insurance to secure a refund.

Spa Policies:
Spa Cancellations must be made within 3 days prior to the spa service. Any spa cancellations after the 3 days prior to the service will be subject to a full service charge.
